Catalog, pricing & credit
Products, price lists, customer groups, credit classes, and how holds appear at order, load, or delivery.
Products
Open Products. Each SKU needs a name, sellable units (case, each, and so on), and — if you pick by expiry — batch tracking. Inactive products stay in history but drop out of new orders and the portal catalog.
Use Import for a spreadsheet. Preview first, then commit.
Price lists and quantity breaks
Open Price Lists. Create a list, add products, and set prices. Quantity breaks apply automatically when the ordered qty crosses a break — telesales, quotes, standing orders, and the portal all use the same price resolver. There is no “special portal price” path.
Open a price list to review lines, then assign that list to a customer or to a customer group.
Customer groups
Customer Groups let you attach one price list (and related defaults) to many accounts. Use groups for trade bands such as “Cash & Carry” or “National Account” rather than maintaining a unique list per shop unless you truly need it.
Customers
Open Customers → New (or Import). Capture:
- Code and trading name
- At least one delivery address with postcode; add zone and delivery window if you route by area
- Credit class, credit limit, and payment terms (zero days is treated as COD on the driver app)
- Price list or group so lines price correctly on the first order
The customer show page is the hub: orders, invoices, balance, and hold status in one place.
Credit classes
Open Credit Classes. A class is a named policy: limit behaviour, terms, and where the hold bites — at order entry, at load, or at delivery. Put risky accounts on an earlier hold point; trusted accounts can be checked later in the chain.
Live outstanding balance plus in-flight orders is what finance sees as exposure in the credit cockpit.
Inventory health
Use Inventory for on-hand vs reserved by warehouse. Batches shows lot and expiry for FEFO picking. Goods receipts, adjustments, and transfers are how stock enters, is corrected, and moves between depots — see the warehouse chapter.
