Orders, quotes & call cycles

Draft and confirm sale orders, convert quotes, schedule standing orders, and work today’s call list.

Create a sale order

Open Orders → New (or New Order from the header actions).

New Order — search the customer, add lines, check credit on the right, then Save draft or Confirm.
  1. Search the customer by code, name, or phone. Check the credit band and available credit on the side panel before you add lines.
  2. Choose delivery address and warehouse. Set the delivery date and window if the account has one.
  3. Add lines — search SKU or name. Unit prices come from the customer’s price list; quantity breaks recalculate as qty changes.
  4. Save draft while you are still quoting or the buyer is unsure.
  5. Confirm when the order is real. Confirm reserves stock and runs the credit check.

Reps on a phone can use the same form in a narrower layout — it is the same order, not a side channel.

If the order goes on credit hold

You will see a hold instead of a clean confirm. Call finance — they work the hold in Credit Control. Do not raise a second order “just to get it picked.”

Quotes

Open Quotes → New. Add the customer, validity date, and lines (prices resolve from the price list). Save the draft, then open the quote and Convert to Order.

Quotes — convert a draft quote to a sale order. Prices are re-resolved at conversion.
  • Choose the warehouse at conversion.
  • Optionally tick Confirm order after convert if the buyer has already accepted.
  • Prices are re-resolved at conversion — quote line prices are not copied blindly, so a stale quote does not lock yesterday’s deal unless it still matches the list.

Standing orders

Open Standing Orders for repeating drops (same lines, same account, on a schedule).

Standing orders generate sale orders on a schedule — they still pick and invoice like any other SO.
  1. Name the standing order, pick customer, address, and warehouse.
  2. Set how many days ahead to generate, optional end date, and delivery windows.
  3. Add the repeating lines and save.

The system generates sale orders from active standing orders on schedule. Treat generated orders like any other SO — they still confirm, pick, and invoice through the same pipeline.

Call cycles (telesales)

Open Call Cycles to define who gets called on which weekdays, then work Today’s calls.

Today’s calls — last order, suggested reorder, log the outcome, then raise a normal order when they buy.
  • Each card shows last order date/value and suggested reorder lines where history exists.
  • Log the outcome of the call from the worklist so the next day is honest.
  • When they buy, raise a normal order from that customer — do not keep a private notepad of “today’s sales.”

Finding an order later

Orders lists every sale order with status. Open one to see lines, reservations, and the path through warehouse and delivery. Status meanings are in the glossary.

Edit an order

Open the order and choose Edit (also on the orders list). You can change drafts, credit-hold orders, and confirmed orders until the warehouse starts picking.

  • Draft / credit hold — save draft again, or confirm when the buyer is sure.
  • Confirmed — Save changes. That re-checks credit and re-reserves stock. It does not drop the order back to draft.
  • Picking onwards — the order is locked. Cancel (if still allowed) and raise a new one, or wait for POD/returns to correct quantity.
